Problem: Fragmented Communication Channels and High Operational Load

Health clinics and doctors communicate with patients across many different channels such as WhatsApp, Facebook, Instagram, and their website. This fragmented structure leads to lost patient data, communication gaps, and a heavy manual workload on staff. Moreover, patients' requests for round-the-clock medical assessment and support cannot be met operationally with standard methods.

Solution & Approach

An AI-powered, integrated interface was designed so that doctors and clinic managers can manage all communication channels and customer relationships (CRM) from a single hub. The design process focused on ensuring data integrity and on automating the workflows of sales and operations teams through a fluid experience.

Key Features and Design Decisions

• Single-Screen (Omnichannel) Management: A clean, functional panel was designed where messages from every communication channel are gathered in a single interface, letting agents view the full patient communication history without interruption.
• Intelligent Chatbot Integration: An AI assistant — shaped by the expertise of specialist doctors, able to perform round-the-clock medical assessments and instantly offer treatment plans in different languages — was seamlessly integrated into the experience.
• Automated CRM Flows: Smart screens were designed that automatically create a profile the moment a patient makes contact, visually accelerating quote preparation, online appointment tracking, and advance-payment collection.
• Mobile Compatibility: A mobile-first architecture was built so that sales teams and assistants can also manage the entire system without interruption from mobile devices (via the app).

Outcome

Dr. Ethos gained a user-friendly interface that prevents data loss, eases the workload of healthcare professionals, and standardizes patient communication. The entire patient journey was digitized in a secure, GDPR- and HIPAA-compliant, end-to-end traceable structure, turning it into a product that supports the sector's innovative vision.
